Bids are hereby invited for appointment of a service provider for outsourcing of ICT services as a single service aggregator including network services and infrastructure. Scope: The Client is seeking the following services from a service provider built on ITIL® standards of service delivery and strictly following best practices as prescribed in CoBIT®. As this approach is based on an SSA model, Bidders are required to clearly specify whether they will provide the service themselves or identify the sub-contractor responsible for delivering the service/s. The Bidder must perform at least 70% of the services and will retain full legal, operational, and financial responsibility for all subcontracted services. The client invites qualified and experienced service providers to submit information regarding specialised tracings and legal debt collection services. This RFI aims to identify partners capable of supporting the clients debt recovery processes through accurate tracing, compliant collections, efficient reporting, and professional student-centred engagement. Scope of Services: Tracing Requirements: Service providers must deliver: • Specialised tracing methods (bureau data washed information only not acceptable); • Full time hosted staff for daily operational support; • Full integration with PeopleSoft System; • Daily automated exchange of tracing instructions and completed trace reports; • Credible and reliable bureau partnerships; • Strong compliance with POPIA and student data regulations; Daily Tracing Instruction Flow (Inbound to Service Provider); • Instructions exported daily from PeopleSoft Add & Maintain; • Exports to run every evening at 22:00; • Files delivered to an integrated folder; • Service provider to import instructions into their system daily; • Confirmation email sent indicating all new instructions received (using the clients instruction type identifiers); Completed Tracing Deliverables (Outbound to the client): • Completed tracing instructions exported daily from 11:00; • Excel file delivered to integrated folder for automatic PeopleSoft import; • Tracing reports generated in PDF format, exported to integrated folder and programmatically updated in PeopleSoft; • Daily confirmation email at 17:00; • Each Collector to receive individual notification emails with invoices attached; • Detailed trace documents required: 1. Trace Invoice: Fee charged per completed instruction (student and/or surety); 2. Trace Report: Confirmed new contact information and Supporting documents (sheriff notes for rural areas, copy of emails/SMS sent); 3. Trace Note: Additional relevant information and Name and contact details of the person who confirmed the information (if available); 4. Trace Additional Information: Any extra information that supports collections and For sheriff service support: Photo of student/surety (if available), ID number and Maps for locating the address; 5.
